Planning and Project Management

To minimize the stress associated with migrating to, or implementing a new system you'll be needing strong project management with careful planning to steer the change management process.

You will work closely with SYSPRO's project team to prepare the initial project plan. The plan will allow for the successful monitoring and management of the project by incorporating the necessary checks and balances required to achieve results on time.

The plan includes:

  • a scope statement
  • a change management plan
  • key milestones
  • an escalation plan
  • a reporting structure
  • the actual project schedule & budget.

On your acceptance of the project plan proposal, SYSPRO will present the plan in the form of a comprehensive project charter.

System Design & Coding

The system design includes the technical deployment design and the full scope of how business processes will be configured and setup to work for you. The project plan will define the roadmap for proceeding through the design phase and it will include at minimum the following steps:

  • Establishing the detailed requirements
  • Mapping the requirements and designing the solution
  • Building and presenting a prototype

Proving the Solution

A key part of the implementation plan will be for you to verify and validate the project team's implementation and design. You will need to perform end user testing and provide acceptance of the defined business processes and functions.

Discovery and Selection

If you don't know the 'What' and Why' of your proposed ERP adventure, you are likely to wander down an inappropriate road of selecting, implementing and operating ERP. You may blunder upon success but you are more likely to be dissatisfied with the results.

For this reason, it is advisable for you to get expert advice from the outset. At this stage, we have experienced consultants who will meet with you to establish, define and understand your business processes. Our consultants work with our Quantum Architecture implementation tool to keep a record of all conversations, decisions and outcomes.

Once the business processes are understood and defined, our consultants use all the data collated during meetings to build a model of the proposed solution which includes deadlines for project milestones. At this early stage, you will be able to see if the deployment of the system will be worthwhile in your organization.

Implementation

Once the model has been accepted a project plan is put in place to implement the solution. The plan includes everything from data conversions and data entry to verifying the network and hardware requirement, as well as timeline and resource controls.

Training is a key aspect in the implementation plan as this empowers you to utilize the full power and functionality of SYSPRO software and make a rapid transition to the new system.

We consider the period after go-live and up to the first month-end as part of the implementation phase. Usually the implementation project team are still fully engaged. The first month-end is seen as a test of whether everything is working as planned. It is only once that has proven to be successful that ownership passes from the implementation project team.

Operation

With your new ERP system up and running, you may want to sit back and reap the benefits, but this is just the beginning. There are a number of services that will be required on an on-going basis to keep your system running efficiently.

Ensuring that you have helpful, knowledgeable support services when you need it is a key element of our support services offering. Channels include phone, email, remote, on-site or on-line, which can be purchased on a contractual basis or as-needed.

As your company grows and adapts, you may have requirements that fall outside of the scope of the core product. There are a number of possibilities open to you via the SYSPRO App Store or Our Professional Services team.

On request, we are also able to conduct site audits to ensure the health of your system.

SYSPRO Learning Channel

The SYSPRO Learning Channel (SLC) is an educational on-line medium that delivers combined voice, data and video to the desktops of recipients and serves as a platform for live information dissemination and collaboration. A comprehensive library of recorded lessons provides 24/7 self-paced training. The SLC incorporates the use of a Learning Management System (LMS) that enables companies to gauge the educational progress of each SYSPRO user.

The LMS provides management with a control system to monitor student activity and obtain reports on the SYSPRO educational activities of each individual. The LMS provides each organization visibility of the learning track. This information provides companies with valuable insight into each employee's progress and allows management to determine how well educational and organizational objectives are being met.

Viewing the Sample Sessions (Recordings)

The recordings are in Flash format and will download to your web browser and begin playing automatically. They all have the usual Pause, Play, FF, RWD, and Stop.

To make them more interesting, we have done parts of the recordings in different formats available in Articulate Engage. Moving through the different Engage formats is very simple. Each Engage 'Slide' is a series of different screens that provide detailed information on the topic. In all the formats you use the two arrows in the top right hand corner to move from one screen to the next, or back, as seen in the sample below.

You can move through the notes and follow along with the narrator using the slider bar next to the text.

Some of the screens have small inset pictures of other screen shots within them. To enlarge the inset pictures, click on the looking glass in the bottom right corner.

This is an example of a different Engage format. As with the other, you enlarge the inset screenshot using the looking glass, scroll through the notes using the slider bar, but in this one you can move through the different screens by clicking on the appropriate blue button on the left. The screen you are currently watching is highlighted in green.

You move through some of the Engage formats by selecting a point on the timeline at the bottom of the screen. This allows you to jump ahead to the topic you need.

The last Engage format has a series of buttons next to options on the screen. Click on the buttons to obtain more information on a specific option, or use the arrow in the top right to scroll through each of them.
