SYSPRO Fits the Bill at Jastram

"The feature that is most valuable to me is the swift and relatively painless task of performing a month end. It used to take us days to perform month end when we were using an off-the-shelf product. With SYSPRO, we run our month-end in one day. Overall, SYSPRO gives me reliability and access to timely information.
- Rina Teo, Financial Controller, Jastram Group of Companies

  • The Company

Jastram Technologies Ltd. was established in 1983 to provide the Canadian market with an array of marine instrumentation and services ranging from lighting illumination design to safety and signal equipment. Its sister company, Jastram Engineering Ltd., was established in 1989 to provide hydraulic steering gears and controls systems which it designs and manufactures under stringent quality control at its Vancouver, British Columbia location for worldwide distribution.

Peter Jastram, Chairman of the Jastram Group of Companies, comes from a family that has been in the marine business since 1889. The longevity of the Jastram Group of Companies bears testimony to the quality of its products, which is further endorsed by its client base and the types of contracts Jastram wins. These include the Hibernia project, the Canadian Navy and Coast Guard, and the outfitting and servicing of minesweepers.

Jastram's strategic advantage is its ability to respond quickly to its customers around the world with innovative solutions. The essential purpose of the group is underlined by its mission statement: 'Provide total solutions to unique situations with systems and products that we support and back up by our own professional engineering practices and standards.

  • The Challenge

When the time came for Jastram to choose an Enterprise Resources Planning (ERP) solution, it was critical that the software could manage the overall flow of products to its customers. This involved several components. Firstly, Jastram wanted to assimilate the sales information between its two physical locations - St.Catharines and Vancouver, and secondly, the company wanted the software to co-ordinate the activities at each location for sales and service.

  • The Solution

Rina Teo, Financial Controller of the Jastram Group of Companies, was involved in the selection process and recalls, "SYSPRO fit the bill at a very competitive price."

Because SYSPRO is a fully integrated package, Jastram is able to maintain optimum stock levels. The Work in Progress module directly updates its inventory records, tracking all inventory movements. The time-consuming function of manually tracking inventory has been eliminated and more accurate and efficient inventory levels are maintained.

"SYSPRO's comprehensive Sales Analysis report gives our marketing/sales teams essential sales and purchasing histories, enabling us to evaluate market trends and thus plan our purchasing and work in progress," Teo says. "I am now able to produce accurate re-order reports and reduce our lead time for getting products to customers."

  • The Result

With suppliers and customers in Asia, New Zealand, Australia, the United Kingdom, Europe and the United States, Jastram needs full multicurrency capabilities. SYSPRO handles all of Jastram's foreign currency needs, from invoicing to collections, from banking to cash drawer.

"The feature that is most valuable to me, as a Financial Controller, is the swift and relatively painless task of performing a month end. It used to take us days to perform month end when we were using an off-the-shelf product. With SYSPRO, we run our month-end in one day. Overall, SYSPRO gives me reliability and access to timely information," Teo says.

Jastram has a third-party payroll system that is directly linked to Work in Progress (Labor Posting as well as the Financial modules), thus eliminating the need to import and export information between SYSPRO and their payroll system. "The link is live which means less work for my team, and pay day is relatively painless," Teo says. With information such as employee salaries and other sensitive data centralized through ERP software and server technology, keeping this information secure is vital.

In SYSPRO, security set-up is in one central location, eliminating the time it takes the system administrator to locate all the security features. The administrator does not have to individually set up each employee's security restrictions because SYSPRO uses 'Groups' to simplify security set-up.

"Although my primary interaction with SYSPRO was through the Financial modules, our Production Department has also seen great benefits from installing an integrated system. SYSPRO provides powerful what-if-analysis, allowing us to manufacture our products more efficiently."
